I'm pretty sure they knew the fellowship was in the mines because the crows (that spied for Sauron) spotted them on the mountain. That's why they went there to begin with (that and Gandalf didn't say shit and let clueless Frodo decide).

The crows were Saruman's spies, and Saruman wanted the ring for himself so I doubt he'd communicated that to Sauron via the palantir. Besides, how would Sauron then communicated this to the orcs far away from Mordor?

Sauron can't just telepathically communicate with anyone he wants.
The only confirmed way to communicate across distances is via palantir. Maybe Sauron can do it with ringwraiths but that's just my speculation.
Gandalf also tells Frodo that the ring itself calls to him, and he does see and talk to Frodo whenever he put the ring on. Maybe he just used the Track my Ring app. 🤷♂️
